Commercial Construction Project Coordinator

L5 Construction is a commercial construction management and general contracting firm located in Oklahoma City, with a history and mission of producing high-quality projects.  The company is looking for experienced and motivated individuals who are ready to join our team.

Project Coordinator Responsibilities:

  • Operational Responsibilities
    • Collect, process, input, organize and file data and documentation from various sources and stakeholders as requested by project management team in accordance with established business processes.
    • Support project management during the bidding process, with deliverables such as creating bid invitations, preparing bid packages, addressing regulatory and compliance requirements and creating, tracking and following up on bid communications.
    • Coordinate submission of project documentation per project requirements.
    • Prepare routine correspondence (such as letters, emails, meeting notes and proposals) and review outgoing materials for conformance with L5 standards and formats.
    • Create and distribute requests for information (RFIs). Follow-up as needed to include pricing efforts and distribution of change orders.
    • Support project management with project deliverables, such as managing information through Outlook, Procore and electronically processing various documents (such as submittals, RFIs, change orders, and close-out documents).
  • Accounting Responsibilities
    • Receive, review, and process pay applications and compliance documentation from subcontractors for project management approval. 
    • Collaborate with project management team on project budget management, owners change order documentation, and L5 pay applications. 
    • Track, monitor and/or collaborate with internal stakeholders to ensure necessary documentation (such as certified payroll, diversity reporting, insurance certificates, bonds, lien waivers, affidavits, etc.) meets compliance requirements before releasing payments to subcontractors.
    • May support various administrative needs for the project team as needed, such as arranging team member travel, managing expense reporting, etc.
  • Contracting Responsibilities
    • Support project management during the award process:
      • Issue and/or prepare bond and prime contract documentation.
      • Set up, issue, and fully execute subcontracts.
      • Produce, issue, track and execute change orders, and project specific documents such as bonds, affidavits, etc.

Qualifications and Skills:

  • Ability to perform work accurately and completely, and in a timely manner.
  • Communication skills, verbal and written.
  • Proficiency in MS Office.
  • Organizational skills.
  • Ability to work cross-functionally between operation and accounting teams.
  • Critical thinking.
  • Ability to deliver quality through attention to detail.
  • Knowledge of administrative, office and general billing procedures.

Additional attributes for employer consideration:

  • Clerical support experience in construction, design, contracting, or accounting.
  • Proficiency in Procore.

This is a full-time salaried position with benefits including health and dental insurance, PTO, and 401K.   Salary base is $45,000.00 – $50,000.00 yearly.  Please email SBronson@L5gc.com for more information or resume submissions.
